Chapter Meetings and Roles

Guidelines for Chapter Meetings

  1. Schedule a minimum of four yearly meetings, three of which should be professional development credit programs.
  2. All elected Chapter officers must be members of SNACT.
  3. Refer to the Bylaws for all officer duties.
  4. The Chapter President must:

1. Attend the Annual Leadership Conference and attend one SNACT Executive Board meeting per year, if possible.

2. Submit a list of the Chapter officers to the Executive Secretary.

Responsibilities of the Chapter President 

1. Attends Leadership Workshop for Chapter Officers.
2. Works together with other Chapter officers in preparing the Chapter's Plan of Action. Ensures that the Plan of Action coincides with SNA Gold Award criteria. 
3. Together with other Officers selects the topic, date, time & location of Chapter meetings.
4. Provides the leadership to further the goals and aspirations of the Chapter and the Assoc.
5. Guides the Chapter and its members to promote fellowship and interest between districts within the Chapter, the State and the National Assoc.
6. Serves as chair of the Chapter.
7. Presides at all meetings of the Chapter.
8. When possible, attends SNA Executive Board Meetings.
9. Prepares the agenda for the Chapter meetings and ensures that this information is distributed to the members
10. Ensures that the count of those expected at a meeting is given to the hosting district if a count is needed for meal counts, etc
11. Gathers and collates all materials for the Chapter President’s Gold Award contest and submits Gold Award Book to the Regional Representative or directly to SNA President by deadline.
12. Ensures that the Chapter meetings are pre-approved for formal or continuing education credits.  

Responsibilities of the President-Elect.   

1. Attends the Leadership Workshop for Chapter Officers.
2. Attends all Chapter meetings.
3. Studies the duties of the President and the other officer positions.
4. Performs the duties of the President and presides at Chapter meetings whenever the President is unavailable.
5. Assists the President and Chapter Officers with the development of the Plan of Action
6. Promotes membership and maintains membership records for the Chapter.  Ensures that new members are recognized during each Chapter meeting.  

Responsibilities of the Vice-President    

1. Attends the Leadership Workshop for Chapter Officers.
2. Assists in the development of the President’s Plan of Action.
3. Assumes the responsibilities of the President-Elect if the Chapter does not have a President-Elect.
4. Attends all Chapter meetings.
5. Learns how to perform the duties of the President and President-Elect by helping both in the execution of their duties.
6. Helps the other Chapter Officers if necessary

Responsibilities of the Chapter Treasurer 

1. Attends the Leadership Workshop for Chapter Officers.
2. Assists in the development of the President’s Plan of Action.
3. Attends the Chapter meetings.
4. Collects dues at Chapter meetings.
5. Deposits revenue into Chapter checkbook.
6. Writes checks for disbursement as directed.
7. Supervises and monitors Chapter funds.
8. Prepares and submits a current financial report at each Chapter meeting. Copies are provided to all Chapter Officers.
9. Purchases raffle and door prizes if requested.  Purchases gifts, etc. for outgoing officers. 
10. Sells raffle tickets during each Chapter meeting.

Responsibilities of the Chapter Secretary  

1. Attends the Leadership Workshop for Chapter Officers.
2. Accurately records all minutes of Chapter meetings.
3. Assists in the development of the President’s Plan of Action.
4. Attends all Chapter meetings.
5. Within a week after Chapter meetings, sends Chapter officers a copy of the minutes of the meeting.
6. Reads the minutes of the previous meeting at Chapter meetings. 
7. Compiles & updates the Directory of Officers (home, work address, phone & email lists)
8. Handles any correspondence for the Chapter (i.e. Thank-you Notes, Sympathy Cards, requests for donations)
9. Maintains attendance records of all meetings.  Ensures sign in sheets are signed by all attendees.
10. Develops and distributes Chapter meeting flyers as requested by the President and keeps the mailing/faxing/emailing lists up to date.
